It can be very concerning to hand over your electronic device to a roadside inspector when they are requesting to see your paperwork. When you're using ComplianceBox to complete your Daily Vehicle Inspection Reports (DVIR's), you have three options to satisfy the inspectors request while maintaining your private information safe.
You have the option to show the inspector your current trip inspection report directly on your device, without handing them your phone/tablet. The most secure method to ensure your private data is kept safe, is to make sure it never leaves your hands. Simply tap the "view inspection" button in your app and turn your device to allow the inspector to see the required information.
The inspector can be easily e-mailed a copy of your inspection(s) right from the app. Simply tap "send inspection", enter the inspectors e-mail address, and click send. A PDF copy of your selected inspection will be immediately e-mailed to the inspector.
This requires your device to have an active internet connection.
Finally, you have the option to hand your device over to the inspector to review the inspection in their own hands. Before you do so, activate "Guided Access" on your device so that the inspector cannot close the app to view any of your information. Once configured in your iPad or iPhone's settings, guided access can be quickly enabled by clicking your lock button 3 (three) times. Read more about Guided Access on iOS devices here:
https://support.apple.com/en-ca/HT202612ComplianceBox generally does not have access to any of the private information on your device. We do request specific access and explain why and what we use it for here:
Location Data
When you start your first inspection we will ask to use your devices current location. Every inspection is required to record the location that the inspection took place at. As such, we attempt to assist you with this by quickly asking your device for the current GPS coordinates. We then attempt to use that information to populate that field of the inspection for you. If you deny access to ComplianceBox from viewing your current location, we cannot populate this field for you. This is the only time that we use your location in the app. We do not store this information on our servers. We only keep the text for your "Location of Inspection".
Camera Access
It is possible to add a picture to a defect that has not been resolved. In order to accommodate that, we need to access your camera. We only do so for the picture being added to the defect. If you deny ComplianceBox access to using your Camera, we cannot use it to add photos to defects.
Camera Roll
Sometimes you may want to add a picture that you have already taken to a defect. In order to do so, we ask for permission to load your camera roll so that you can select which picture to attach. We do not scan your photos and only use the one you have selected to add to the defect. If you do not authorize this permission on your device, we cannot use images from your camera roll to add to a defect.
We do not have access to other information on your device. Your health, contact, e-mails, texts, etc. are all not accessed by ComplianceBox and nothing of the sort is sent to our servers.
